Preamble

This contract is drawn up in German; the English translation is provided for convenience only. Only the German version is binding.

Registration and payment

The following General Terms and Conditions regulate the contractual relationship between the participant in the conference and the Humboldt-University Berlin (hereinafter referred to as "the organizer"). Deviating General Terms and Conditions of the participant are not valid.

Registration can be made via online registration. Sending an online registration is considered a firm booking, and with your registration you automatically accept the general terms and conditions. Registration is considered confirmed once payment has been received in full. Full payment must be received no later than one week before the conference begins. We accept credit card, paypal and bank transfer payments. All payment fees must be paid by the sender. Registration and payment will be confirmed by e-mail.

Based on current planning, registration is intended to be open from 1 Juli 2022 to 1 March 2023. Deviations from these dates are possible and in the responsibility of the organizer.

On-site or on-line conference

Experiences with the highly volatile national and international regulations on COVID-19 pandemic containment makes it necessary that the planning for the conference includes two parallel pathways for implementation. The preferred implementation is the on-site conference in Berlin, the alternative implementation in case of too restrictive official regulations will be an online conference.  Information about necessary changes in this regard will be communicated via the conference website and via e-mail to all abstract submitters.

Conference fees

The conference fees will be announced before the start of the registration process. The costs are made up of

- the costs for conference materials;

- using rooms;

- keynote speakers;

- excursions;

- catering (for 5 days)

- conference dinner;

- organization and

- achievements of the Humboldt Innovation.

 

The conference fee was calculated based on a cost plan checked by Humboldt Innovation and event management at Humboldt University in Berlin.

Conference fees:

550 Euro/participant     = early bird; until December 15, 2022

700 Euro/participant     = from December 16, 2022

 

Cancellation policy

Cancellations can only be made in writing.

  • Cancellations until December 14, 2022 will be refunded with 60 Euro deduction.
  • Cancellations received between December 15th and February 28th, 2023 will incur a 50% cancellation fee.
  • No refund can be given for cancellations after March 1, 2023.
  • Bank fees and credit card fees will not be refunded.

In case that the conference is canceled by the organizer, a full refund will be made. Liability is limited to the amount of the contributions paid by the participant; there is no additional liability towards the organizers.

In case that the conference cannot be held or is postponed due to events beyond the control of the conference organizers (force majeure) or due to events that cannot be attributed to willful intent or gross negligence on the part of the conference organizers, liability applies limited to the amount paid by the participant, there is no additional liability towards the organizers. In this case the organizer is entitled to deduct payment fees from the registration fee and refund the reduced amount to the account of the participant.

Excursions

Several excursions are planned at the same time. The participant can choose an excursion from the list when registering. For some excursions, the number of participants is limited. The cost of 1 excursion per participant is included in the conference fees.

Changes and postponement

The organizers reserve the right to make changes to the conference program, schedule and venue at any time. In the event that for some reason a postponement of the conference or a change of the dates becomes necessary, the organizers are not liable for expenses, damages or losses of the participants.

If the event can take place through reorganization or postponement, registration between the participant and the organizers remains and is subject to the cancellation policy above.

Local organization and personal documents

Participants can receive their personal conference documents at registration. The conference secretariat is available to assist you during the conference.

All participants receive a certificate of attendance during the conference together with the conference materials and the official conference name badge. Participants are requested to wear the name badges on all conference occasions.

Proceedings

Proceedings will be published electronically. The proceedings will be available online from the website from FSPM 2023    https://www.fspm2023.net

Lunch, refreshments and conference Dinner

The catering during breaks, packed lunches, lunch (for 5 days of the event) and the conference dinner are included in the registration fee and will be shown separately on the conference invoice.

Visa regulations

It is the sole responsibility of the participant to take care of their visa requirements. Participants who require an entry visa must allow sufficient time for the application process.

Photos and Filming

Photographs, moving images and audio material (in short: media) will be taken during the conference within the scope of press and public relations activities and may be stored electronically for an unlimited period and published electronically and/or in print. By taking part in the conference you grant the organizers full rights to use the media in their printed and online publicity, social media or press releases.

The organizer shall not be liable for the use of media relating to the auxiliary person concerned by third parties for other purposes without the knowledge of the organizer, in particular by downloading and/or copying such media from publicly accessible sources.

The Humboldt university assures that rights to the media will not be sold, transferred, etc. to third parties without the consent of the person concerned.

If you do not wish to be photographed please inform the organizer at least 24 hours before the start of the conference.

Websites and Links

The conference websites may contain links to other websites and networking tools that are made available to users. The organizers hereby explicitly dissociate themselves from all content of any linked pages mentioned in our homepage and we do not adopt their contents. This declaration applies to all links displayed on the present web page.

Liability

By registering to the conference participants agree that neither the organizers nor the conference secretariat assume any responsibility for damage or injuries to persons or property or loss of property during the conference. Participants are advised to organize their own health, travel and personal insurances.

Legal basis

Organizer of the conference is the Humboldt University of Berlin. The organizer and the authorized representatives cannot be held liable for any damages, of whatever nature or loss of goods.

The organizer does not accept any liability for the topicality, correctness and completeness of the conference documents and the execution of the event. These Terms and Conditions shall be construed in accordance with and governed by the laws of Germany. Place of jurisdiction is ??????, Germany.

Severability clause

We reserve the right to change, add, add or remove the above terms at any time without notice. Should one or more of the conditions listed in these general terms and conditions be or become invalid, the remaining conditions remain valid and apply. These general terms and conditions apply to all participants of this event, including speakers, sponsors and exhibitors.
